Guest access lets you bring external collaborators — clients, contractors, consultants — into specific forms without granting them full team membership. Guests see only the forms they are invited to, keeping the rest of your team's work private.
What Is Guest Access vs Team Membership
| Team Members | Guests | |
|---|---|---|
| Access scope | All team forms (based on role) | Only the specific forms they are invited to |
| Count as paid seats | Editors and admins do | No — guests are always free |
| See team settings | Based on role | No |
| See other team forms | Yes | No |
| Billing visibility | Admins and owners | No |
| Appear in member list | Yes | No (appear in form-level guest list) |
Inviting Guests
To invite a guest to a specific form:
- Open the form in the builder.
- Click the Share button in the header, or navigate to the form's settings.
- Select Invite Guest.
- Enter the guest's email address.
- Choose a permission level:
- View — The guest can view the form and its responses, but cannot make changes.
- Edit — The guest can edit the form's questions, settings, and logic, but cannot publish.
- Click Send Invitation.
The guest receives an email with a link to access the form. If they do not have a NueForm account, they will be prompted to create one (free) before accessing the form.
Guest Limits by Plan
| Plan | Maximum Guests per Team |
|---|---|
| Entrepreneur | Not available |
| Pro | Up to 10 guests |
| Enterprise | Up to 50 guests |
Guest limits are counted per team, not per form. A single guest invited to multiple forms counts as one guest toward the limit.
Guest Permissions
View Permission
Guests with View permission can:
- View the form in the builder (read-only).
- View responses and analytics for that form.
- Export response data from that form.
They cannot:
- Edit questions, settings, or logic.
- Publish or unpublish the form.
- Invite other guests.
- Access any other team forms.
Edit Permission
Guests with Edit permission can:
- Everything a View guest can do.
- Edit questions, descriptions, and settings.
- Modify logic jumps and variables.
- Upload media and files to the form.
They cannot:
- Publish or unpublish the form (only admins and owners can publish).
- Invite other guests.
- Access team settings or other team forms.
- Delete the form.
Removing Guests
To remove a guest from a form:
- Open the form in the builder.
- Navigate to the form's Share or Guest settings.
- Find the guest in the list.
- Click Remove.
The guest immediately loses access to the form. They will see an access denied message if they try to open it again.
Removing a guest does not delete any changes they made to the form. Those changes remain in the form's version history.
Guests Don't Count as Seats
Guests are completely free and do not count against your team's paid seat limit. This makes guest access ideal for:
- Client reviews — Invite clients to view their form before it goes live.
- Contractor work — Let freelancers edit specific forms without team access.
- Stakeholder oversight — Give managers view access to track progress on specific forms.
