An Email step sends an email the moment a respondent reaches it in your form — no Zapier, no webhooks, no SMTP setup. Drop it anywhere in the flow (including on a specific logic-jump branch) and it fires automatically, then the form continues.
Typical uses:
- A donation form → "Thank you, here's your impact summary."
- A booking or lead-magnet form → "Here's your download / your confirmation."
- A mid-flow notification, with different emails per branch.
Adding an email step
Add an Email step from the question palette (the ✉ icon), then fill in:
- To — the recipient. Use a form variable like
{customer_email}, or{respondent.email}on forms that require login. - From (display name) — the name shown in the recipient's inbox. The sending address stays a NueForm address so your emails land reliably; replies go to your Reply-to (or your account email by default).
- Subject and Body — both support
{variables}. Choose HTML for a formatted email (open the full editor to write HTML with a live side-by-side preview) or Plain text.
Test it before you publish
Use Send test to me to send the email — exactly as configured, variables and all — to your own account email. Test sends are free and unlimited on every plan and never count toward your quota.
Silent vs. loading screen
By default the respondent briefly sees a small "sending…" screen. Turn on Silent and the email fires in the background while the form advances instantly.
On phone calls too
Email steps also fire on NueVoice phone calls, just like data nodes: when the call reaches the step, the email sends in the background — the caller hears nothing and the call continues without a pause. Answer variables collected on the call interpolate as usual, sends are deduped once per call (honoring Resend if revisited), and every send shows up on the Emails page. Note that {respondent.email} is empty on calls (callers aren't logged in), so use an answer variable — e.g. ask for the caller's email earlier in the form — as the recipient.
Delivery, tracking & the Emails page
Every email your forms send appears on the Emails page in the sidebar: who it went to, the subject, which form it came from, and its status — Sent → Delivered → Opened, or Bounced. Open any row to preview the exact email that was delivered.
Open tracking is on by default (turn it off per step). A note on accuracy: some mail apps (notably Apple Mail's Privacy Protection) pre-load images, which can register an "open" the recipient didn't make — so treat opens as directional.
Sending, safely
- One send per respondent. An email step sends once per respondent, even if they navigate back through it. Turn on Resend if revisited if you want it to fire again.
- Respondent data. If your email includes answer variables, that data leaves your form by email — make sure the recipient is meant to receive it. On HIPAA-enabled teams, publishing surfaces a reminder when an email step interpolates response data.
Plans & limits
Building and testing email steps is free on every plan. Live sending is available on Pro and Enterprise:
- Entrepreneur — test mode (build + test to yourself; published forms don't send).
- Pro — 5,000 emails/month included, then $2 per 1,000.
- Enterprise — 50,000 emails/month included, then $2 per 1,000.
Overage is billed automatically on your monthly invoice at $0.002 per email and pauses well above your included amount as a safety cap. Scheduled email sends draw from the same monthly allowance.
