Booking (NueBook)

Let people book real time on your calendar — inside any form with a Booking question, or through a standalone booking link that needs no form at all.

NueBook connects your Google or Microsoft calendar to NueForm so respondents can pick a real open slot. The event is created on your calendar the moment they confirm — with an automatic Google Meet or Teams link for video calls, confirmation emails, reminders, and a self-service reschedule/cancel page for the attendee.

There are two ways to use it:

  1. A Booking question inside a form — collect answers and schedule the meeting in one flow.
  2. A booking link — a shareable page (nueform.io/book/…) with just the scheduler. No form required. Create these from the Bookings page.

Booking is included with Pro and Enterprise — no add-on, no per-seat scheduling fee. Free workspaces can build and preview with mock slots; going live needs Pro.

Connect a calendar

  1. Open Bookings in the sidebar (or a Booking question's settings in the builder).
  2. Click Connect calendar and sign in with Google or Microsoft.
  3. Pick the calendar events are created on, and which calendars block your availability.

Reconnect anytime if the connection breaks — bookings pause safely (respondents see "no availability") rather than double-booking you.

The Bookings page

Bookings in the app sidebar is your scheduling home:

  • Calendar views — Day, Week, and Month views of every booking across all your forms and links, color-coded by booking type, with your connected calendars and extra time zones in the gutter.
  • Booking detail — click any booking for the attendee, times in multiple zones, the join link, its source form or link, and actions.
  • Reschedule / cancel in-app — pick a new time with the same slot picker respondents use; NueForm moves the calendar event and re-sends confirmations. Cancelling notifies the attendee and removes the event.
  • Filters — toggle calendars, booking types, and links; show or hide cancelled bookings; search by attendee.
  • If you edit or delete a NueBook event directly in Google/Outlook, NueForm reflects it back (an "edited externally" badge, or a cancelled booking with the attendee notified).

Click New booking link on the Bookings page:

  • Essentials — name (also the event title), calendar, duration (fixed, or let the attendee choose), weekly hours and timezone.
  • Advanced — date overrides, location (video / phone / in person / custom), buffers, minimum notice, booking horizon, daily caps, reschedule cutoff, a custom confirmation email, email/SMS reminders, a page description, and accent/background colors.
  • Attendee email, name, and phone are asked right on the booking page (or set fixed values in Advanced).

Share the link from the row's share button — copy, QR code, or your custom domain. Pause a link anytime; pausing stops new bookings without deleting anything.

Convert to form turns a link into a full draft form (welcome screen + booking question + thank-you screen) so you can add questions around it. Edit as form opens the link's page in the form builder for deeper customization — it still won't appear in your forms list, and it must keep a booking question to stay publishable.

The Booking question (in forms)

Add the Booking question type to any form (Advanced group in the palette). Everything above applies, plus:

  • Map the attendee's email/name/phone to earlier answers with variables like {email} — or leave them empty to ask at booking time.
  • Use answer variables from the booking ({your_variable}) in later questions, logic, and email steps.
  • Respondents confirm the slot in-place; the form then continues to the next question.

Reminders & the manage page

Attendees get a confirmation email with an Add to calendar (.ics) file and a private manage link where they can reschedule or cancel (you control the cutoff). Email reminders go out 24 hours and 1 hour before the meeting; SMS reminders are optional and need an attendee phone number.

The AI phone receptionist (NueVoice)

When a form with a Booking question runs as a phone call, the AI receptionist handles scheduling in natural conversation: it offers real open times from your calendar, negotiates ("do you have anything Thursday after three?"), confirms the exact slot back to the caller, books it, and texts them a confirmation with their manage link. You can even interrupt it mid-sentence — like a real receptionist, it stops and listens.

It works with zero extra setup — your existing booking configuration (calendar, hours, durations, buffers, location) drives everything. The Phone booking section on the question adds the optional knobs:

  • Slots offered at a time — how many openings it offers per reply (2–4; default 3).
  • Caller timezone — announce your business timezone up front (default; it converts on the fly if the caller mentions theirs), or ask the caller's timezone first.
  • Email for calendar invite — ask for an email (spelled back for confirmation) when none was collected earlier in the call, or skip it and rely on the SMS confirmation alone. If the caller declines, the booking still goes through. The receptionist also collects the caller's name for the invite — unless it's already mapped in your booking settings or the caller mentioned it earlier in the call, in which case it never re-asks.
  • Text the caller a confirmation + manage link — on by default; the SMS carries the booking details and the same private manage page attendees get on the web.
  • Opening line — optional exact wording for how the receptionist opens scheduling; leave empty and it composes one from your setup. Translatable per language.
  • If nothing's available — what it says when no slots exist in your booking horizon (the call then continues past the question). Translatable per language.
  • Receptionist instructions — free-text guidance for the AI ("mention we validate parking", "never offer Fridays"). It shapes what the receptionist says without being read aloud verbatim, and it works in any language you write it in.

Your form's AI Personality, Context, and Guardrail nodes apply to the receptionist too, so it speaks with the same persona as the rest of your call. Phone bookings appear everywhere web bookings do — the Bookings page, the form's Bookings tab, your calendar — tagged Booked by phone.
